Share and Copy Links in details

What are really the differences when you share or copy a link?

Share or copy a link has the same effect in case you choose one of the 4 link options. It’s only the intent of the user that is different.

For each option, you can see below how it is displayed in the Manage access panel and the advanced interface (SharePoint permissions).

1) Share or Copy link – Anyone with the link

  • Inheritance break
  • Transferrable
  • Revocable secret key

Share (user must be chosen):

  • Why isn’t this user showing in the Manage access panel? We must go to More options (…) to view who it is shared with.

Copy link (user cannot be chosen):

2) Share or Copy link – People in organisation with the link

  • Inheritance break
  • Can be forwarded within my organization
  • Blocks external people form accessing

Share (user must be chosen):

  • Why isn’t this user showing in the Manage access panel? We must go to More options (…) to view who it is shared with.

Copy link (user cannot be chosen):

3) Share or Copy link – People with existing access

  • Permission inheritance

Share (user must be chosen, must already have access)

Copy link (user cannot be chosen)

4) Share or Copy link – Specific people

  • Inheritance break
  • Non-transferrable
  • Revocable secret key
  • Requires people to prove they are intended recipients

Remove Sharing

If you delete a link, the permission of the file will not return to normal because the inheritance break will stay.

‘Stop sharing’ is available even if the document was never shared. If you click on ‘Stop sharing’, the inheritance will be broken and only the ‘Owners of …’ will have ‘Full control’ access.

Stop sharing OneDrive or SharePoint files or folders, or change permissions – Office Support (microsoft.com)

‘Delete unique permission’ is the only way to reset the permissions.
